Hawaii, with its warm climate, gentle trade winds, lush landscaping and beautiful ocean and sunset views, seems like the ideal location to host a special event.  And, it is!  But, there are some things that an event planner should know before dipping their toes in the water and planning their perfect gathering in paradise. 

 Plan Ahead

Incentive groups are booking with shorter and shorter ‘windows’ and that clashes sometimes with the Hawaii wedding market, so we’re finding that some of the prime Corporate venues are being booked up well in advance by excited brides.  To secure the best location, we recommend that you start planning at least one year out from the date of your event, or tapping into on-island experts who have existing relationships with specific venues.

 Making Noise

The City & County of Honolulu has a noise ordinance that requires all off-property events to end by 10 p.m.  Luckily, there are some unique and spectacular settings that are available across the islands should you want your event to go later.  Shhh, it’s a secret. 

 Bottom’s Up

While we’ve all seen movies and television shows that depict grand parties on the beach with tropical cocktails like Blue Hawaiis and Mai Tais, Hawaii actually has a law in place that prohibits the consumption of alcoholic beverages on the beach.  There are some solutions, including a few hidden spots that are not technically considered to be on state land.

 Culture Club

Perhaps the most important thing that event planners should know when coming to the Islands is that Hawaii residents take their culture seriously.  It is, therefore, very important to display a respect for the Hawaiian culture not only when it comes to negotiating and planning an event but also when it comes to incorporating cultural elements in the event itself.  For example, should you be planning a Hawaiian-style luau event, it needs to be authentic in the performers that are hired, the dances that are highlighted and the materials that are used.
