Special Event Planning
Special Event Management
Previous decades found the secretary or the marketing department organizing corporate events. As the scale and complexity of managing these meetings has grown, event management has become a growth industry. It becomes an excellent way to outsource the work thereby freeing up your own personnel to tend to business.
Companies spend $500 billion on annual events although that number may flatten in the coming year. Planning for a company's business meeting, whether large or small, needs to be flawless each time. By using professionals, the end result is superior and the costs are comparable. Professional event management companies work on a wholesale basis with hotels, caterers and others so the customer often receives the service near the same price. But of course, the real gem is that they know the inside information on reliability and performance.
The list of details when encountering a business event is long and detailed from badges, reservations, seating, head counts, last minute cancellations and additions, as well as renting linens, chairs and lighting. Being certain that the computers for your presentation can be plugged in and display properly is the least of it.
Any size event is worth calling an event management team for a bid. Of course, you should also check references and see examples of their work to be sure your choice is qualified and reliable.
Special Event Program Coordination
Not sure what order to stack your upcoming events? When do you bring your keynote speaker? When do you award the prizes? Are the golf times too close to dinner? Designing an Event Program should feel seamless to the guest. They should not have any sense of down time (boredom) or the feeling of being rushed (anxiety). Rather they should feel that each portion of the overall event is well-timed and thoughtful of their needs. Ideally they flow from one event to the next with just the right speed and clarity (how do I find the ballroom). When you need to coordinate all the events, we offer Event Program Coordination to ensure that the planning is optimal in terms of time and activities.
Power Generation
Large events require professional high-power generation to allow for light, sound and effects. From large screens, computer stations for check-in and the performers, everyone has very high needs for electricity. We can estimate, plan and deliver the right type of generators, cables and wiring needed to have the right amount of power generation for your event.
Script Writing
Emcees and presenters may need special services when delivering to a large audience. Often the pacing and timing that works with a small group will fall flat when performed in a very large venue. Sound, ambient noise and large screen projectors require customized script writing to sound relaxed, on-message and professional. The Presidents use script writers to help them craft both a literal and inspirational quality to their public speeches.
Sound & Lights
This very specialized segment of Special Event Planning is very complex and requires both lighting and audio engineers for planning, setup and execution during the event. Nothing creates a better impression than beautiful, clear microphones without feedback, hiss or muffled tones. Music that is too loud or too soft can spoil an otherwise excellent evening. We are highly influenced by lighting: too bright and we feel awkward, too dim and feel isolated and confused. Great lights set the tone for feeling the event is special.
Themes and Décor
With so many parties and events to experience, most people become connoisseurs of what is beautiful and well-planned. Thematic parties with the right decor transport you to new environs making the evening more magical and memorable. From casual, exotic and thrilling -- it's all possible with great execution

Debunking Myths About Hiring a Production/Event Company
Submitted by Denise Vissat on Mon, 03/14/2011 - 6:17pm
Myth #1: Anyone can plan company events… all you need is access to a phone and the internet…. No other tools, skills or resources required.
Reality #1: Every professional needs trained skills and tools... In the same way a dentist, doctor, or other medical professional use the tools of their trade, a meeting planner requires in depth understanding and resources for such tasks as staging & theater props; sound, lights, electrical engineering; catering; entertainers & performance requirements; tax, insurance & liability laws; group transportation; contract negotiation skills, and such.
Emerging Trend to Watch: Vendor/Customer Meetings are Becoming More Popular
If the economy itself isn’t bad enough, circumstances in which legitimate business meetings are being perceived as excessive are negatively affecting the meetings industry even more.

FLASH MOBS: A NEW MOVEMENT!
They start unassumingly, organically even. The music begins and suddenly someone within an audience of people begins to respond enthusiastically to that music. Within moments, he or she begins to dance to the tune, as others catch on, and with apparent spontaneity, begin to engage with the music as well. Before long… and certainly before the end of the music, typically comprised of one song, a sizable group of dancers will have formed, all synchronized and all stepping effortlessly in enthusiastic choreographed motion.

They Said They Wanted Something “Different”
Have you ever had one of those situations where you simply had to find an absolutely unique and unusual Venue in which to host an event? Such is the situation with a client we have the privilege of hosting each year in Miami. Each time they visit, they ask that we find something completely new and different from what we have done in the past. Even in a place like Miami, this challenge becomes more daunting each successive year. But for us, this annual hunt has actually been fun and has led to the discovery of some really great venue options.

TEAMNet Creates Custom Teambuilding Event
ENTCO International, received a daunting task from their newest client: “Get our older employees hyped up and energized, and get the younger ones to respect the older ones, and to get over their, “I don’t want to do it” attitude."
To accomplish these edicts, ENTCO created an event inspired by the TV series “The Amazing Race,” in which all participants were divided into teams, and then given a team passport to travel around various “continents” – aka teambuilding stations. The teams were also given a variety of tasks that required them to communicate efficiently and work as a unit in order to make it through each stop on the itinerary.
